Sponsor/Exhibitor Logistics
Exhibit Setup:
Exhibit setup will be on Tuesday afternoon, April 17, starting at 1500. We don't currently have a welcome reception planned, so there will not be any time pressure for the setup. If we add a reception, it would not begin until 1800 that evening, which would allow plenty of time for a standard setup. Either way, our hope is that we can open the room to setup earlier, but that will depend upon arrangements with the exhibit company and hotel that we will not know until a few days before the event.

During the period from March 13 to March 19, we will be contacting the sponsors individually, from Diamond to Platinum, then to Gold, to select their booth locations for this year. Choices will be based upon the time each sponsor in a specific category signed up for their sponsorship. If you haven't heard from us yet, don't panic. We are getting in touch with each sponsor based upon that ordering.
Exhibit company logisitics:
Each booth or tabletop will be provided with standard 110V electricity. Tabletops include a draped 2.5m table and chairs and will have a hard backing wall if you are on the center aisle. Booth spaces do not include a hard backing wall unless you request it at least a week in advance. In all cases, chairs and draped tables are provided by the hotel and are simple to add and remove as needed during the setup times. If you have any special requirements for furniture or other equipment, let us know as soon as possible and we can assist you in working with the exhibit company.
Booth, booth literature and "literature drop" shipping:
The Ambassador Hotel can accept direct shipments up to one week in advance
of the event. The shipment should be marked as follows --

Housing:

Literature:
Check the agenda for your assigned 'function'. During that assigned break or coffee, you will be able to distribute one piece of literature to each seating position. Bring 350 pieces of the literature and you should be fine (it is hard to seat any more than 350 in the room we have). There were approximately 200 people last year. Usually there are one or two people that can be grabbed to assist with that distribution.
Diamond Sponsors: 2 conference seat drops, 2 page insert into the spiral or
ring bound conference proceedings
We will advise you at the show of your drop times if your
function does not
coincide with an "in-the-room" conference time (such
as the reception), as well
your second drop time. Each diamond will have one drop on
each day.
Platinum Sponsors: 1 conference seat drop, 1 page insert into the spiral bound conference proceedings
Gold Sponsors: 1 page insert into the spiral bound conference proceedings
The insert page(s) should be timed to arrive at our Taiwan printing coordinator between April 4 and April 11. Again, the maximum number is 350 and the format for that page should be US letter size (8.5 x 11 inch). Any extra literature will be brought over to the conference on the afternoon of April 17.
